Review Support & Accountability Senior Coordinator Primary
Location Washington DC Possible Hiring Locations Remote US
Department 0121 - Review Support and Accountability Provides
general administrative and operational coordination support to the
Review Support & Accountability team. Coordinates and supports the
work of the relevant Board committees and working groups. Works
under the direction of Review Support and Accountability Project
Managers on projects and reports. Maintains and updates Review
related procedures, web content and other related documentation.
Analyzes and proposes solutions within defined standard
procedures.Updates Review Support & Accountability team's Record of
Processing Activity (ROPA) required by the European Union's General
Data Protection Regulation (GDPR). Key Responsibilities &
Duties:
- Coordinates and supports the process of preparing for,
conducting the reviews - drafts agendas, keeps track of action
items and decisions reached, updates review team wiki space, and
performs other assigned duties.
- Coordinates and supports the work of the Organizational
Effectiveness Committee of the Board - schedules meetings, drafts
agendas, prepares slide presentations, tracks action items,
coordinates review and approval of minutes, maintains the work
plan, updates activities reports and charter documents.
- Maintains schedules and coordinates with relevant stakeholders
to ensure timely delivery of materials and adequate time for
required reviews and approvals. Identifies potential scheduling
problems and helps address them.
- Responsible for updating Review related content on weCANN,
ICANN's internal communication platform.
- Updates Review Support & Accountability team's Record of
Processing Activity (ROPA) required by the European Union's General
Data Protection Regulation (GDPR) to keep an inventory of all
personal data processed by each business function. This is a
semi-annual update.
- Analyzes and proposes solutions within defined standard
procedures.
- Creates of spreadsheets, manuals, presentations,
communications, and publishes documents to community wiki, weCANN
and icann.org website; creates reports by aggregating materials
submitted by the Review Support and Accountability Team.
- Communicates and coordinates activities across diverse groups
and functional units.
- Provides administrative support to the VP, Review Support and
Accountability as needed.
- Other duties as assigned or requested . Required Knowledge,
Skills, and Abilities (KSAs):
- Must have excellent communication skills.
- Knowledge and understanding of supporting the administration
function in an international context.
- Knowledge of good practices in operational and administrative
support, including records management procedures; ability to
research, select, organize and summarize data and information
required for reports, papers, briefings, etc.
- Strong organizational skills, extremely detail oriented.
- Familiarity with project management principles.
- Demonstrated ability to apply good judgment in the context of
assignments given.
- Ability to work independently of others, effectively manage
time and prioritize work to meet designated deadlines.
- Proficient computer skills, particularly with word documents,
spreadsheets, slide decks, database management, and wiki
management.
- Strong interpersonal skills and ability to establish and
maintain effective working relations with people in a
multicultural, multi-ethnic environment with sensitivity and
respect for diversity.
- Familiarity with common practices in operational and
administrative support.
- Knowledge of the Internet and Domain Name System.
- General knowledge of organizational reviews or audits.
- Demonstrated ability to work well under pressure with
potentially conflicting deadlines and priorities, apply good
judgment in the context of assignments given, work independently
(self-motivated), take appropriate initiative and be
solution-oriented as well as able to work as member of a team.
- Must have tact and discretion in dealing with confidential or
sensitive matters, paired with an ability to know when and how to
seek guidance. Education and Experience Requirements:
- Bachelor's Degree required.
- Minimum four (4) years of experience or equivalent as a
coordinator.
- Prior international experience strongly preferred.
- Previous experience working in an international organization,
whether public, intergovernmental, or private, is preferred.
- Specialized training in business administration desirable but
not necessary.
- Experience working on project teams with formalized project
management processes. Language
- Fluency, both written and spoken, in English is required.
- Fluent written and spoken language skills in any of the other
official United Nations languages is strongly preferred. Working
Conditions & Physical Requirements:
- Willingness and ability to travel domestically and
internationally as needed.
- Work is performed in a normal office environment with limited
privacy and some exposure to background noise.
- While performing the duties of this job, the employee is
frequently required to stand and walk. The employee regularly is
required to sit. The employee is frequently required to talk or
hear; use hands and arms to reach, handle or feel. Specific vision
abilities required by this job include close vision, color vision,
and ability to adjust focus.
- The employee may occasionally lift and/or move up to 25
pounds.
