Job Description ShadowMachine is an award-winning animation
production house for film, television, commercials, and music
videos. With locations in Los Angeles, CA and Portland, OR,

stories. We---re looking for an multi-faceted HR Benefits
Administration and HRIS Coordinator who will oversee the
administration of our health benefits, 401K, maintenance of our
HRIS and ATS system (UKG), as well as assist with on-boarding new
hires and other HR and accounting tasks as assigned The successful
candidate will be self-motivated, quick-thinking, flexible, and
able to juggle a variety of diverse responsibilities with strong
emphasis on organization, excellent customer service, and
unwavering attention to detail at all times. What you'll do:
Benefits Administration: -- Forward new hire information to our
benefits broker to invite into Ease -- Follow up with new hires to
ensure timely completion of elections in Ease -- Offer gap coverage
or terminate benefits in Ease when wrapped -- Prepare Monthly
Employee Deduction spreadsheet -- Review and update Employee
Deduction spreadsheet weekly -- Review and pay vendor invoicesget
adjustments as needed. -- Journal Employee deductions to individual
accounts in PSL -- Reconcile Employee deductions in PSL -- Download
and review COBRA information from our COBRA TPA and book JE in PSL
-- Reconcile COBRA bills vs payments collected -- Book deposits
from our payroll of health insurance accrual in PSL -- Review PDX
deductions and allocations -- Analyze total health insurance cost
against monies collected 401K: -- Send updated deductions lists to
our payroll company as needed -- Review weekly deductions from
payroll and book the deposit -- Upload weekly deductions to our
401K administrator website -- Calculate eligibility quarterly --
Invite newly eligible employees -- Prep annual audit HRIS/ATS
(UKG): -- Enter new hire offers to send -- Review changes sent by
employees and send updates as needed -- Enter terminations/changes
-- Maintain projects and documents as changes/additions required --
Run reports as needed and requested HR/ACCT MISC : -- Gather I9
documentation from new hires for attestation -- Conduct online I9
verifications (EVerifty and payroll) -- Triage employee questions
and forward to appropriate person -- Assist with events and company
newsletter -- Assisting with other HR and Accounting projects as
needed What you'll need: Minimum of 2 years of experience in an
administrative support role in HR and Accounting. Experience in the
entertainment industry or a production strongly desired. Excellent
interpersonal and customer service skills. Strong project
management, time management, and long-term planning skills. Strong
attention to detail and ability to multi-task in a fast-paced,
dynamic environment. Ability to triage, work independently,
understand when issues need to be elevated. Proficient in MS Word,
GSuite, Excel and Adobe Acrobat Highly proficient in managing HRIS
systems, preferably UKG Analytical, problem-solving, interpersonal,
strategic thinking, and reasoning skills Ability to communicate
effectively and efficiently through demonstrated strong written and
verbal communication skills Proven ability to handle confidential
