ICEF's mission is to prepare all students to attend and compete at the top 100 colleges and universities in the nation.Position Description:This is a 12- month, full-time, hourly, non-exempt position. This position provides support to the Human Resources Director in ensuring that daily operations and day to day HR needs are met by performing a variety of clerical and administrative duties relating to personnel functions. The HR Assistant coordinates activities related to staffing, such as screening applicants, scheduling appointments, and ensuring appropriate completion of payroll and benefits documentation. The position will be given various tasks as needed to assist in payroll process as well as during open enrollment annually.Reporting:This position reports to the Director of Human ResourcesEssential Functions: Completes Employment Verifications & Loan Applications. Organize and maintain complete and accurate employee files e.g., confidential, personnel, medical, training, I-9, driver's license, TB tests and Teaching Credentials, in accordance with ICEF policies and procedures. Organize all terminated employee files and maintain the files. Organize new hire paperwork, ensure the new applicant's paperwork is in the payroll and benefits system, and the supporting files are uploaded to Paychex. Assist with job postings, organizing resumes, and screening applicants. Assist with checking applicant references Assist with collecting agreements for Credentialed Staff and assist with offer letters for all staff. Assist with payroll by reviewing timesheets, ensuring all punches are collected and punches are correct. Update Payroll information as needed in payroll system'including address changes, DOB changes and W4 changes. Monitor and track all employee Paid Time Off (PTO) requests. Track and monitor completion of all staff trainings. Completing termination paperwork and assisting with exit interviews. Complete I-9 for new hires and maintain I-9 records. Interface with ExED and HR Director regarding employment and payroll record keeping. Assist with Oversight visits, No Child Left Behind (NCLB) by maintaining the NCLB Grid and supporting documents. Prepare regular and special reports as needed. Receives and responds to inquiries from employees regarding HR, Payroll or Benefits issues. Provides secretarial support by entering, formatting, and printing information; organizing work; answering the telephone; relaying messages; filing documents, maintaining equipment and supplies. Cultivate and maintain a climate that is free of harassment, intimidation, and disrespect to provide a safe place for staff and students to work and learn. May provide relief to Home Office receptionist. Other duties assigned by the HR Director.Specific Qualifications:Bachelor's degree in Business Management or Related Field2-3 years of experience in human resources or related fieldKnowledgeable of HR principles and practicesBasic knowledge and experience with Paychex preferredBe experienced with 10 key, and data functionsType 40WPMMust be detail oriented and have exceptionally strong follow-up and follow-through skillsNeeds to be able to work independently with little directionNeeds to be a proactive problem solver who demonstrates initiativeMust be professional, maturity, and must have an understanding of how to handle sensitive and confidential informationMust be able to interact and communicate effectively with a variety of individuals and organizationsMust have a strong work ethic coupled with an enthusiastic and passionate approach to one's workGeneral Qualifications:Must believe in and live out ICEF's Core ValuesMust ensure achievement of ICEF's missionMust have an unwavering belief that all students can learn and achieve success in schoolMust have excellent communication skills, both oral and written, with the ability to foster positive working relationships.Must be able to interact with stakeholders at all levels (including all staff, parents, students, and community members) in a respectful manner and provide excellent customer serviceMust be able to work collaboratively in a team environmentMust have a working knowledge in using Microsoft Office products including Word, Excel, PowerPoint (or pages, numbers, and keynote if using Apple/MAC products)Must have strong organizational, problem-solving, and time-management skillsMust attend and participate in ICEF staff meetings as requiredMust attend and participate in ICEF training programs as requiredMust have reliable and insured transportationMust be able to travel between schools and the home office as required as a condition of employmentMust have a valid California Driver's License.Must show proof and maintain a clear TB ClearanceMust undergo and maintain a clear DOJ and FBI ClearanceMust provide documentation of eligibility to work in USSalary:$16-18hrBenefitsMedical, Dental, Vision and 403B availableICEF is an Equal Opportunity Employer
