Job Description:

Coordinate services for clients, guests and provide administrative sales support for the department.Position Qualifications and Requirements:Education & Experience:High School diploma or equivalent.Two years experience in sales/catering or a related field.Physical Demands:A significant portion of the workday is spent moving about, speaking and listening, usually while standing up.The vast majority of time is spent moving about while communicating with clients, guests and staff.Lifting or carrying approximately 50 lbs. can occur at times, but not often.A small portion of time is spent sitting down and some of this time is spent completing departmental paper work, such as schedule or labor reports.Required CompetenciesComputer skills; Microsoft Office and ability to learn sales software and hotel reservation system.Excellent communication skills due to majority of time will be interacting with clients and staff.Basic math skills.Reading and writing abilities are used often in reviewing and compiling departmental records or guest registration and reservation information.Will be required to work some nights, weekends and holidays as needed.Ability to work in a fast paced environment and strong multi-tasking skills.Effectively obtain and communicate detailed information and follow-up to clients.Responsibilities that may include any and all of the following:Respond to client calls, special requests and obtain final details, dates, times regarding meeting room requirements. Regularly follow-up with clients, maintain accurate and up to date information.Perform administrative duties such as typing proposals, emails, contracts and correspondence.Resolves requests and/or complaints to the satisfaction of the guest. Inform supervisor of major problems, complaints, disturbances or dissatisfied clients. Follows up to ensure guest satisfaction.Promote team work and quality service through daily communication and coordination with other departments. Coordinate details with other departments such as VIP amenities, special requests or other service needs.May coordinate outside vendor service needs (catering, displays, audio visual, etc) when needed. Regularly follow-up to ensure set up requirements meet client needs.Knowledgeable of hotel property, amenities, area attractions and transportation.Conduct property tours.Provides a professional image at all times through appearance and dress.Follows company policies and procedures and is able to effectively communicate them.Perform other duties as requested by management.Relationships:Internal: All hotel departments: For effective communicationExternal: Hotel guests: To provide customer service Clients: Interaction for event detailsOrganizational Structure:Reports to: Director of Sales &Director of EventsJob title also known as: Catering Coordinator, Sales Coordinator
