Job Description:

ResponsibilitiesReporting to the Director of Special Events and led by the Sr. Event Manager, the Event Manager will support a comprehensive and complex fundraising strategy raises in excess of $2M annually, with new fundraising and event goals to be added in celebration of Venice Family Clinic's 50th anniversary.Oversee execution and develop events to raise funds and visibility for Venice Family Clinic.--Manage event logistics such as rentals, catering, security, displays, signage, petitions, permits, transportation and parking. Coordinate all administrative and logistic duties including ticket sales, registration, RSVP lists, supply needs, inventory control, communications, timelines, bid sheets, volunteer and committee protocols, artist donation forms, agendas and recaps.Assist with budgets, track revenue, expense goals, and develop creative cost saving, in-kind and revenue enhancing measures.Brainstorm, research and implement improvements to events each year to drive increases in revenue and attendance while managing expenses.--Implement complex financial procedures for event payments and reconciliations that comply with UCLA procedures. Assist Data and Finance department in reconciling post-event, preparing reports and delivering support. Manage E-Commerce site: create and oversee point of sale websites for all event products including donation pages and merchandise, manage distribution and fulfillment. Assist in the creation of event marketing including but not limited to: mailings, signage, invitations, tribute journal, evites and website. Maximize relationships to raise revenue, manage expenses and drive communication for the Clinic with stakeholders including internal and external partners, government officials, sponsors, clinic staff and Board members.-- Must be comfortable and professional communicating with donors in person and via phone/email.-- --Stewardship with Donors/External Community Partners/Vendors . Maximize relationships to raise revenue, manage expenses and drive communication for the Clinic with stakeholders including internal and external partners, government officials, sponsors, clinic staff and Board members.-- Must be comfortable and professional communicating with donors in person and via phone/email.-- Leverage personal relationships to drive revenue and open opportunities for stewardship.-- In-Kind & Corporate Sponsorship Drive revenue through tribute journal/advertisement sales program including renewals, new gifts, tracking and fulfillment.Solicit in-kind support including but not limited to: donations, in-kind experiences, raffle and silent auction prizes. Comfortable making cold calls and sending unsolicited letters/emails.-- Collaborate with Director of Special Events and Sr. Event Manager to coordinate event committees and volunteers. Delegate workload and train interns, volunteers and committee members.--Work with volunteer team to coordinate information, lead trainings and communication for volunteers. Co-lead committee meetings Coordinate projects assigned to committee members and volunteers; develop work flows and recognition. Responsible for meeting logistics and communications including catering, agenda and recap notes.--Ensure Director of Special Events and Sr. Event Manager are briefed on all aspects of project progress, needs, issues, and successes. Maintain strong working relationships with Development, Communication, Individual Philanthropy, Corporate and Grants teams to ensure streamlined event execution.------ Develop relationships with Clinic staff to enhance events messaging. Other duties as assigned within Venice Family Clinic.Qualifications1-3 years experience in event planning and production.-- Skilled in creative approaches to events - Required.Excellent organizational skills.-- Can marshal resources (people, funding, material, support) to get things accomplished.-- Uses resources effectively and efficiently.-- Able to coordinate multiple events simultaneously - Required.Demonstrated ability to meet deadlines and complete detailed assignments in a timely and thorough manner - Required.Exceptional multi-tasking and trouble-shooting skills - Required.Skilled at establishing and maintaining productive working relationships with staff and volunteers - Required.Computer skills, including demonstrated proficiency in Microsoft Word, Excel, and ability to learn new software programs; familiarity with Raiser's Edge and Access helpful.-- Typing skills to prepare materials with speed and accuracy Required.Skilled at working both independently and as part of a team - Required.Diligent and detailed oriented approach to event planning while not losing sight of the larger strategy - RequiredAbility to write and edit creative, concise and grammatically correct correspondence and other written materials.-- Basic knowledge of graphic design and printing process - Required.Proven ability to develop and execute strategic plans - Required.Entrepreneurial approach to fundraising; demonstrated ability as a self-starter - Required.Will be required to work occasional evening and weekend hours as needed - Required.Valid California driver's license - Required.UCLA is an Equal Opportunity/Affirmative Action employer.
