Overview
Purpose Statement/Position Summary: We are seeking a highly skilled and motivated Office Manager to join our dynamic team for our Legal department. As the Office Manager, you will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency, and safety. You will be responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision, and task delegation. Responsible for management, supervision, and oversight of the daily clerical and administrative office duties in department. The ideal candidate is a spectacular communicator who has excellent organizational skills and a personal disposition to keep us thriving. You will have a natural flexibility in handling day-to-day routines as well as surprises that support for a broad range of functions is available to senior leadership team. You will provide strong, reliable support for operations by creating procedures and communicating them departmentwide, and by maintaining employee safety. You will also help us achieve organizational efficiency by nurturing a positive, inclusive work environment.Other responsibilities will include:


  • Manage day-to-day operations departmentwide
  • Implementation and training of software, policies and procedures (e.g., PeopleSoft), when necessary
  • Manage departmentwide library
  • On-boarding and Off-boarding temporary and/or permanent employees
  • Maintain confidential information and records
  • Perform other duties as assigned
  • Demonstrate tenacious, creative, resourcefulness and problem solving to resolve competing demands for meeting space, and excellent customer service in all communications required to reach effective solutions for all involved.
  • Help plan in-house or off-site activities, team-building, celebrations, and conferences.
  • Contributes to team effort by accomplishing related results as needed.
  • Coordinate catering for meetings and/or events. Receiving catering requests from various departments, verifying approval, communicating approved requests to our onsite caf-- and ensuring all parties agree for set up and execution.

    Minimum Qualifications/Work Experience: 3+ years of experience in a supervisory or office manager capacity preferred or equivalent combination of experience and education. 1 or more years of experience in a medical office/clinic setting preferred.
    Knowledge, Skills and Abilities Required:

    • Must demonstrate experience in budget management or financial planning.
    • Professional appearance and demeanor
    • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
    • Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability
    • Ability to work independently as well as a part of a cohesive team; willing to go above and beyond - always looking to improve process, efficiency, and support to business.
    • Impeccable interpersonal acumen - able to interface at ease with executive team, employees, and visitors at all levels diplomatically.
    • Excellent attention to detail (proven by exceptional references and previous accomplishments).
    • Excellent written and verbal communication skills, even under pressure and when navigating ambiguity and challenge.
    • Proficiency with office applications, and aptitude for learning new software and systems
    • Ability to maintain confidentiality of company information
    • Competent with conflict resolution and defusing escalated situations as needed.
    • Avid problem solver - able to create win-win situations using limited resources.
    • Must be able to carry, lift, push, and pull objects up to lift 35 pounds.
    • Must be available to work varying schedules to reflect the organization needs of the department

      Education/Licensure/Certification: High school diploma or equivalent required. Bachelor's Degree preferred.
      Pay Scale InformationUSD $58,240.00 - USD $104,832.00 CHLA values the contribution each Team Member brings to our organization. Final determination of a successful candidate's starting pay will vary based on a number of factors, including, but not limited to education and experience within the job or the industry. The pay scale listed for this position is generally for candidates that meet the specified qualifications and requirements listed on this specific job description. Additional pay may be determined for those candidates that exceed these specified qualifications and requirements.
