Join the fight to end homelessness and make a difference in people's lives at LA Family Housing!***SUMMARY OF RESPONSIBILITIES*The Executive Assistant provides the agency's President & Chief Executive Officer (CEO) with direct administrative and project support as it relates to organizational leadership, Board development, community relations/advocacy, donor prospecting/cultivation, and fund development support. This position represents the office of the CEO in relationships with staff, Board, donors, and the public at large and is responsible for high-level organization and coordination of all management related functions.***SPECIFIC DUTIES*

  • Coordinate and manage daily calendar, including scheduling of all internal and external appointments and meeting arrangements. Answer, screen and handle outside and internal calls discreetly and in a timely manner. Facilitate communication to promote smooth workflow and ensure needs of CEO and senior management team are met
  • Ensure CEO has relevant materials for internal and external meetings, support with on-site meeting coordination and logistics
  • Manage and draft all forms of written material and correspondence, including presentations. Develop and maintain internal filing systems, both electronic and paper. Manage, prioritize and handle incoming documents, correspondence, and requests for signature including payment requests and mileage reimbursements
  • Act as Board liaison and provide administrative Board support including but not limited to: correspondence, setting and maintaining annual Board/Committee calendar of meetings, updating and maintaining Board/Committee membership rosters, preparing Board/Committee agendas, managing compilation and distribution of Board/Committee meeting materials, managing Board meeting logistics and set up, attending Board meetings, and taking minutes
  • Coordinate off-site Board meetings, including the annual retreat, year-end holiday meeting and staff appreciation events
  • Assist with the coordination and preparation of All Staff and Sr. Leadership meetings
  • Notarize documents for real estate, asset management and finance functions to expedite work productivity
  • Schedule conference and travel arrangements including hotel, air, car and itinerary preparation. Manage, process, and reconcile expense reports
  • Support Fund Development team activities, specifically in all administrative needs of grant submittals and research of donor prospects and special events
  • Conduct research for special projects as assigned by the CEO

    • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
    • Working knowledge of Adobe Acrobat Professional and Sales Force. Proficient in the use of Internet search tools
    • Excellent verbal and written communication skills; strong organizational and time-management skills; flexibility, positive attitude, and sense of humor
    • High level administrative skills: exceptional attention to detail, strong follow-through, ability to multi-task, prioritize and meet deadlines, good critical thinking and problem-solving skills, demonstration of initiative and resourcefulness
    • Ability to exercise sound judgment and decision-making, and to maintain the confidentiality of sensitive information
    • Ability to develop and maintain effective working relationships with staff, Board members, donors, volunteers, and members of the general public
    • Ability to work in a team environment or independently with a proactive mindset and professional demeanor
    • Maintain and execute confidential information according to HIPAA standards
    • Obtain and maintain a California Notary Public Commission certification
    • Obtain and maintain CPR/First Aid Certification
    • Ability to pass post-offer Tuberculosis (TB) clearances
    • Use of a personal vehicle to travel between worksites and other locations is required
    • Must have and maintain a valid California Driver's License and insurance in good standing
    • Ability to work a 9/80 work scheduleEDUCATION AND EXPERIENCE
      • Bachelor's degree preferred but not required
      • Three (3) to five (5) years of experience reporting to top-level management, preferably with a nonprofit agency
