Job Description:
JOB SUMMARYThe Early Education (EE) Coordinator provides
administrative support to the Head of Educational Excellence in
service of Allies' comprehensive early education programs; provides
general clerical support; supports Agency needs, with a focus on
Early Education operations; and directly supervises Early Education
Center maintenance/facilities team.ESSENTIAL JOB DUTIESTo perform

closely with Head of Educational Excellence to support Early
Education program needsCoordinates supply orders for the Early
Education program for office supplies, equipment, and
materialsSolicits vendor bids as needed, providing timely and clear
information to Head of Educational ExcellenceAcquires, distribute
and stores supplies; maintains inventory of general office
suppliesPerforms a variety of clerical tasks including data input,
faxing, filing, copying, running errands, assembling and labeling
files/binders, form completion and document revisionAnswers,
screens and directs incoming calls as needed. Ensures clients
calling in reach the appropriate staff member and/or external
partner agency to help address their need. Track referral calls if
requiredDirects and provide tailored information to visitors and
parents as neededAssists with organizing events, including but not
limited to reserving conference space; creating flyers; printing
sign-up sheets and assembling participant packetsPrepares letters
and mailings for the Early education program as assignedMaintains
confidentiality and appropriate boundaries with all familiesIs
punctual, present, and professional during work hoursSupports with
the acceptance of enrollment and recruitment applications and
forward as appropriateHelps track and complete paperwork required
for billingParticipates in meetings or on committees as
assignedAssist with general organizational or computer-based
projectsAssist with file review in preparation for audits as
neededCreates and continually assesses effectiveness of systems to
ensure that work orders are completed in a timely and efficient
mannerOversees orderliness and neatness in the work rooms,
children's library and other common areasEnsures timely responses
to building/classroom facilities requestsEnsures all monthly and
annual safety checks (professional and in house) are complete, as
well as follow up work orders as neededMaintain safety of Allies
vehiclesEnsure annual playground inspection by professional is
completed Monitors the facility to ensure that it remains safe,
secure, and well-maintainedMaintains inspection logs for fire,
alarm and pest control.Staff must believe in and act in accordance

description.Facilities/MaintenanceEE Coordinator is the Integrated
Pest Management (IPM) Coordinator for the centerIPM will ensure
annual notices are given to parents regarding pesticides used
onsite and annual report are provided to California Department of
Pesticide Regulation (DPR)Maintains up to date Material Safety Data
Sheets (MSDS) for the centerSupervisionDirectly supervises Early
Education Center maintenance teamConducts monthly supervision with
Early Education Center maintenance team, group and individualCreate
and maintain agenda and notes for supervision meetingsStaff must
believe in and act in accordance with both the Agency's and the
program's mission statementIn accordance with our "team"
philosophy, the person filling this position may occasionally be
required to carry out or assist with other tasks in addition to the
duties listed on this job description.QUALIFICATIONS &
EDUCATION:High school diploma or equivalent required; AA/BA
preferredBilingual in English/Spanish - speaking and in writing
requiredKnowledge of administrative and clerical
proceduresKnowledge of computer and relevant software
applicationsKnowledge of customer service principles and practices;
customer service-orientedPleasant, professional speaking manner on
the phone and office experienceProfessional personal
presentationAbility to effectively organize and planSelf-starter;
