Planned Parenthood Pasadena & San Gabriel Valley (PPPSGV) has
been proudly serving our community since 1933 and is one of the
original Planned Parenthood affiliates in the nation.
We provide reproductive health care, health education and advocacy
from our five health centers in Alhambra, Baldwin Park, Glendora,
Highland Park, and Pasadena, in addition to our telehealth clinic.
We strive to ensurethesexual and reproductive health services we
provide align withtheneeds ofthecommunities we serve. Our service
area extends from Glendora to Glendale and fromtheSan Gabriel
mountains totheSan Bernardino freeway, home to 24 communities and a
diverse population of 1.4 million people.
Today, PPPSGV sees over 60,000 patient visits per year and delivers
over 15,000 opportunities for sex and relationship education in our
schools and colleges.
We offer safe and legal abortions. We are committed to providing
accurate, non-judgmental care and resources by helping our patients
overcome financial, transportation, and other barriers to care. In
addition, we work with abortion funds and practical support network
to support our patients. Our abortion care has increased every year
since 2018 with an average of 3,500 abortions per year. We saw
close to 4,000 abortion patients in 2022 alone, approximately 59
were out-of-state patients.
The Front Office Specialist is the face of PPPSGV and responsible
for supporting the delivery of health care services. The Front
Office Specialist facilitates the patient visit by registering
patients, ensuring applicable eligibility and demographic
information is accurately captured in the practice management
system and interfacing with the patients and other health center
staff to ensure high quality, efficient delivery of care and
maximum reimbursement from 3rd party payors.
As a Front Office Specialist, you will change lives while
you:
- Register/Check-in patients
- Display strong listening skills
- Accurately collect and enter demographic information
- Accurately assess fee category for sliding fee scale
- Correctly identify patient's insurance plan or provider
group
- Accurately input of all 3rd party payer information to ensure
maximum reimbursement to PPPSGV
- Effectively collect required co-pays and deductibles on the
date of service
- Accurately communicate Insurance plan coverage to back
office
- Schedule patient appointments
- Solicit feedback from patients at checkout regarding their
visit
- Must follow HIPAA guidelines
- Post charges to Electronic Practice Management System (EPM) for
all pay types following established practices and procedures. Runs
end-of-day reports as directed by Center Manager
- Ensure accuracy of charges from Electronic Medical Records
System (EMR) for all pay types following established practices and
procedures using Electronic Practice Management System (EPM). Run
endof-day reports as directed by Center Manager
- Ensure all charges are entered into E.H.R on the day of the
visit
- Ensure all charges are entered on date of service
- Function as charge entry specialist. Act as resource for other
front office staff resolving problems and errors with charge entry.
Contacts billing department personnel as necessary to help resolve
health center billing questions or problems
- Contact insurance companies to obtain benefit information and
authorization for services when needed
- Contact appropriate staff to obtain information needed to
complete billing and to resolve errors
- Notify supervisor of discrepancies or unusual occurrences in
daily billing or computer software/hardware
- Provide training on EPM system to new Front Office staff and
on-going training for all staff
- Compile data for health center tracking and may perform daily
audits
- Demonstrate PPPSGV customer service standards
- Oversee the cleanliness and comfort of the lobby and patient
restroom
- Contribute to achieving health center productivity goals
- Solicit donations from patients per PPPSGV guidelines
- Communicate clearly and concisely
- Communicate effectively in stressful situations
- Strongly contribute in the team's success
- Train new hires or staff needing cross-training (as
designated)
- Perform other duties as assigned
We are looking for someone with the following:
- Education:
- High School Diploma or the equivalent.
- Experience:
- Insurance verification and charge entry experience highly
preferred.
- One to two years customer service experience, preferably in a
health care, medical or social services setting.
- Other:
- Ability to keep track of more than one task at a time
- Must be detail orientated
- Ability to establish rapport with all clients
- Must be able to understand and follow commercial insurance,
MediCal and FPACT contract guidelines
- Ability to take initiative and to utilize resources
effectively
- Willingness to maintain relevant knowledge about insurance,
anatomy and physiology, methods of contraception, STDs, pregnancy,
adoption, abortion, early prenatal care, community resources,
Agency protocols and referral procedures and all Planned Parenthood
programs
- Must be able to work independently and as part of a team
- Some positions require bilingual (Spanish/English/Mandarin)
skills
- Flexible scheduling includes weekend and evening hours.
Assigned shift times may fluctuate
- Willingness to work and travel to other centers as needed based
on health center patient demand
- Ability to communicate effectively with clients and co-workers
of all backgrounds
- Capable of maintaining professionalism and composure when under
pressure
- Ability to maintain confidentiality and discretion
- Must have strong computer skills with knowledge of Microsoft
Word, Excel, Outlook, and the Internet
- Must have the willingness and ability to adapt to change
including advances in technology
- Must have excellent customer service and be committed to
providing the highest level of customer satisfaction
- Consistently display flexibility and must adapt to change
- Must display strong problem solving and critical thinking
skills

$18 - $20 an hour
The hiring rate for this position is: $18- $20/hour + Medical,
Dental, Vision, 401k Matching Program, Premium CALM account,
