Job Description:
The Office Associate contributes to the efficient operation of
the team by providing support to the National Key Account Manager
and other team members involved in pursuing and growing the
non-Asian sales segment for Wismettac Asian Foods. The Office
Associate is responsible for assisting the team in managing and
coordinating the operations on a day-to-day basis and being the
main contact person with various clients, external customers, and
internal branch personnel involved in the business, as well as the
HQ personnel in Los Angeles. The Office Associate will be
responsible for office and administrative functions, which include
but are not limited to order entry, customer contact, and managing
communications on inventory positions.Essential Job Functions:Keep
the National Key Account Manager updated on the status of key
segments of workflow with proper communication methods (via email,
phone call, in-person meeting) based on different
circumstances.Prepares periodic reports, as required, and
requested, showing detailed information, such as sales volume,
potential sales, and status of active pursuits.Ensure that clients,
customers, and internal employees receive outstanding service by
providing a friendly environment which includes greeting and
assisting every contact, maintaining outstanding product knowledge,
and all other components of customer service.Review customer orders
and ensure that orders are processed through the order processing
system.Receive and respond to customer inquiries by phone, email,
and or any other means regarding order information, such as unit
price, inventory, shipping dates, and any anticipated delays. As
well as respond to customers' inquiries or complaints and direct
them to responsible personnel.Check inventory to determine the
availability of requested merchandise in communication internally
and externally.Organize, maintain, and file relevant records (i.e.,
orders received, vendor communication, commission
information).Communicate cross-functionally with all internal
employees involved in the needs of the business.Monitors and
updates shipping/receiving schedule to ensure that they are meeting
customers' needs.Follow-up with the relevant parties (i.e., Product
Development, Logistics, vendor, and other branch locations within
Wismettac) to ensure timely and accurate deliveries.Responsible for
daily registration activities including but not limited to printing
invoices, matching purchase orders as necessary, checking on
payments, mailing invoices, creating payment orders, and filing
permanent copies.Provides customers with product information
including pricing, delivery, inventory stocking, and/ or back-order
availability, functionally equivalent cross matches, and
value-added product information.Perform other related duties as
required.Experience/Education:The ideal candidate will have a High
School Diploma and at least 4 years of office or business
experience. Experience with MS Office - Excel, Outlook, and Word.
Marketing background a plus.Knowledge/Skills/Ability:The Office
Associate will have knowledge of Asian Food products sold by the
CompanyKnowledge of office methods and practices including
familiarity with office equipmentKnowledge of Microsoft
applications (i.e., Word, Excel, Access, PowerPoint)Knowledge to
use Oracle ERP system.Preparation of Sales promotional material
(Sell Sheets, Brochures, etc.)Good interpersonal, written, and
verbal communication skillsAbility to collaborate with various
personnel, inside and outside of the company.Strong customer
service orientation with the ability to initiate and sustain
productive business relationships with customers and vendors.Good
problem-solving skills with the ability to develop solutions or
various options to issues/problems.Good organization skills and
ability to organize and prioritize numerous tasks and complete them
under various time constraints.Ability to use the telephone in a
professional and courteous manner.Assemble, sort, and/or distribute
documents, supplies, and/or materials/items.Ability to deal with
people in a manner that shows sensitivity, tact, and
professionalism.Ability to follow written and/or oral
instructions.Ability to listen to, and understand, information and
ideas as presented verbally, and ask questions as
appropriate.Working Conditions:The Office Associate position is an
on-site position that usually works a standard 40 hours a week in a
clean office environment; however, some work shifts or overtime
during busy periods may be necessary. Some travel may be required
in assisting the team involved in the business. Compensation and
