Through collaboration, we strive to provide all of our patients and medical group members with the quality, affordable healthcare they need and deserve.The Clinical Heart Institute Front Office Supervisor will supervise and coordinate the daily operations and the patient access staff in the Outpatient Cardiac Clinic. Ensures compliance with applicable policies and standards and makes recommendations for process improvements. Ensures appropriate scheduling of patients, timely completion of insurance authorizations for clinic visits, billing and collections oversite. Acts as a resource and ensures excellent customer service and effective operations. Specific supervisory duties include employee coaching, training, hiring, counseling/discipline, and performance assessment processes; implementing workplace changes; and participating on performance improvement projects. Serves as a role model and resource to colleagues, staff, and others.Job Responsibilities/Duties* Oversees and coordinates the daily operations of the outpatient cardiac clinic and demonstrates advanced level of expertise as it relates to clinic service and clinic patient visit and pre-visit activity. Demonstrates problem-solving, critical thinking, and prioritization of work to resolve issues as they arise in an appropriate and timely manner.* Responds to inquiries / questions accurately and in a timely manner. Exhibits strong interpersonal communication, both verbally and written, with patients, family members/significant others, medical staff, visitors and co-workers. Establishes efficient outpatient clinic services with a strong emphasis on excellent customer relations.* Assists in the development of clinic policies and procedures for compliance with regulatory agencies. Ensures compliance with applicable policies, regulations, and standards.* Ensures appropriate staffing levels. Responsible for scheduling/staffing, coaching, training, hiring, firing, counseling, performance evaluations and competencies, and payroll process. Effectively manages staff in compliance with applicable regulatory bodies, and all established policies, procedures and legal guidelines.* Interacts with department managers and other hospital personnel. Develops strong working relationships with Hospital departments such as admissions, surgery scheduling, and nursing. Facilitates patient continuum of care for Hospital services for surgeries, imaging and other hospital testing.QualificationsMinimum Education: High School Diploma or Equivalent required. Bachelor's degree preferred. College courses in Business Administration and/or Healthcare Administration preferred.Minimum Experience: Three (3) years of experience in an ambulatory clinic setting with an emphasis on cardiovascular patients and a minimum of one (1) year in a leadership role. Previous experience in billing and collections and evaluation of fee schedule and billing practices. Computer literacy and proficiency. Strong time management skills and ability to effectively prioritize tasks. Ability to maintain flexibility and composure in a constantly changing environment. Ability to establish and maintain effective working relationships within the organization. Ability to read, write and communicate effectively in English. Bilingual in both English and Spanish preferred.Req.
