OverviewBusiness management firm in West Los Angeles is seeking to hire a full-time Accounting and Administrative Assistant. Our firm provides tax, bookkeeping, and administrative services to high-net-worth individuals, their corporations, trusts, and their families. The ideal candidate is seeking an entry level position in a small firm working in a team-oriented environment. The ideal candidate also understands that this position includes both bookkeeping and administrative responsibilities as further described below.
Description of Bookkeeping Responsibilities Maintain books and records of client accounts assigned to you o You will spend a majority of your time on one family Perform monthly bank account reconciliations o You will be expected to reconcile approximately 50 account statements each month. Several of these statements have a large volume of transaction activity each month while most of them have very little. Perform monthly credit card reconciliations o You will be expected to pay and reconcile approximately 20 credit cards each month. Several of these cards have a large volume of transaction activity each month while most of them have very little. Process check deposits and vendor disbursements on a weekly basis Prepare outgoing bank wires as required Process weekly client payroll and monthly SIMPLE IRA contributions and record related journal entries Track royalty, residual and film participation payments and distribution statements Track and pay quarterly commissions for legal and accounting fees Track and report earnings to screen actors, directors, and writers guilds on a periodic basis Track and report on political and charitable contributions for client family
Description of Administrative Responsibilities Manage, submit, and track client medical insurance claims for client family insured by multiple providers (primary, secondary, tertiary) Manage, track, and process client insurance renewals including homeowners, umbrella, commercial general liability, workers compensation, auto, and professional liability Manage, track, and process secretary of state annual and bi-annual statement of information filings Manage office and kitchen inventory for our firm Prepare client billings and monitor receivables for our firm Manage online credit card and vendor accounts for client accounts assigned to you Provide general administrative support including mailing, FedEx, scanning, faxing and copying Assistant to CPA partner Liaise with key company vendors including IT provider and building management Respond to emails and phone calls from clients, vendors, banks, etc. Review and respond to miscellaneous paperwork and requests
Qualifications Strong sense of accountability for assigned tasks Strong organizational skills and attention to detail Positive personality Must be comfortable with written and verbal communication Ability to compose professional correspondence Proficiency in MS Word and MS Excel Lives within commutable distance to Century City and a desire to remain in Los Angeles for the foreseeable future
Salary/Benefits Salary: $40k $48k per year We are a business casual office, open from 9a-5:30p, closing at 5p on Fridays. Paid parking, medical benefits, and discretionary annual bonusesby Jobble
